Automatic actions
An automatic action is a “when → if → then do” rule that watches your orders and messages around the clock.
You pick a trigger: an order being paid, a status change, a new message from a buyer, changed delivery data or an issued document. Then you add conditions and choose the steps to run. Conditions are built from what is actually on the order and the thread: sales channel, status and your own status, payment method and amount, delivery country and method, line item contents and count, order age, day of week and time in your own timezone.
Steps can branch: within a single step you define several branches with their own conditions, so the same rule handles an invoice request one way, a pickup point parcel another and an international shipment differently again. Ritevo also makes sure rules cannot loop into each other — a rule that would trigger itself is refused on save.
Every run is recorded on the order or thread with a clear status: success, or an error with its reason. Automation is never a black box — you can always see what the system did and whether the document and the parcel were really created.
In short
- Triggers on orders and messages, conditions set per sales channel
- Conditions on payment, delivery, line items, documents, shipment and time
- Branching steps — one rule covers several scenarios
- Actions: invoice, correction, receipt, parcel with label, status, note, reply
- Loop protection between rules and execution history with the error reason
How to set it up
- 1
Connect the integrations
Add the sales channel plus the accounting system or courier the action should use.
- 2
Set the trigger and conditions
Pick the event, e.g. an order being paid, and narrow it down by channel, delivery method or an invoice request.
- 3
Choose what should happen
Add the document, the shipment and the reply. From the next order on, it all runs without you.
Frequently asked questions
What are automatic actions in Ritevo?
They are rules that fire on their own after an event on an order or a message. They issue an invoice or receipt, create a parcel with its label and send a reply to the buyer, with no manual clicking.
Can I set different actions for different sales channels?
Yes. Conditions include the sales channel, so Allegro orders can be handled differently from your WooCommerce shop orders.
What happens when an action fails?
The action records an error status with its reason on the order, so you can see what to fix and run the step manually.
